Daily staff check sheets are individually designed based on their role in the business. These can be updated on a regular basis and can contain additional tasks on desired days of the week. If for example, one task every Friday is to check that all customers are up to date with payments then this can be added on the Friday checks, lets take a look at a simple scenario below:

Monday - Friday daily checks could contain 15 things, then on Monday , Wednesday, Friday it could contain 5 extra tasks, the tasks are more like reminding each member of staff of their duties. Upon an issue or for any reason, should say they select that there are customers who are overdue on cash collecting, then we could add a further field which they would list the customers and balances / notes of the reasons etc.

 

This can then (automatically) be sent to another department / head / supervisor or director. The idea is that the important stuff is flagged up and known to more senior people, and the day to day tasks that have no issues carry on being completed. 

Dashboards & Access Levels

Dashboards are a good visual way to see things that have issues, or tasks that haven't been completed.

Lets just say that you have a business setup like the example below, take a look at how the system can be set up, this creates a more structured and organise day for all staff members.

  • Each Department manager would have access to their departments dashboard.

  • The General Manager would have a separate dashboard with snippets of important information across all of the departments.

  • The Directors would have their own dashboard with more important information from the General Managers dashboard. 

  • When issues arise, the manager or department head is the first call, they can then (via the system) refer this on to a higher level if they cannot deal with it themselves.

  • Each user has access to only what is available to them. 

Customer Services, Finance & HR, Warehouse, Operations & Sales - Will be separate to Managers, General Managers & Directors

Scheduled Reports

Weekly reports can be automatically emailed on a daily, weekly or monthly basis to individuals, groups or managers and directors.

This will mainly include any issues from the previous week and how they can be fixed. We advise to run these reports on Monday or Tuesday to capture the previous week with the idea being that come Monday or Tuesday you will know of any issues that have happened and how they have or intend to be fixed.

Where does the data come from ?

As the staff begin to enter their daily check sheets, this is usually done near the end of the day then each staff member could have daily or weekly figures to add in, Number of complaints today, or number of staff sickness it can be anything that is pivotal to the running of your business.

 

This data is then displayed in the format that require. When tasks are updated and closed down then they will move into the completed category, this is always good to keep records for the future especially if you are ISO compliant or working towards it. 

Depending on the size of your business, depends on the time it will take to set your new system up, it also depends on how much time you have to work on it also as this is a bespoke system. If you have an idea and most of the day-to-day work loads then it can be done in a few weeks.

 

Once the initial roll out is complete then it will be about tweaking it on a weekly basis so that you get the most benefits out of it.
